1. Who We Are and What This Covers
This Privacy Policy describes how WordPressFix, a division of the Hostrings ecosystem (“WordPressFix”, “we”, “us”), collects, uses and protects information when you visit wordpressfix.org (the “Site”), contact us, or purchase our services. By using the Site you consent to the practices described here. This policy should be read together with our Terms of Service.
2. Information We Collect
- Contact information you give us. When you reach out by email, WhatsApp, phone or the HELLO FIX chat, we receive what you provide: typically your name, contact details, website URL and a description of your problem.
- Chat conversations. The HELLO FIX chat asks a short series of questions (name, platform, phone, issue, hosting access, urgency) and sends the transcript to our support inbox so a human can follow up. The chat also stores its conversation state in your browser’s local storage so that refreshing the page doesn’t lose your place — that data stays on your device and you can clear it at any time through your browser.
- Service and access information. To perform work you order, you may provide credentials such as WordPress admin, hosting, or SSH access. These are treated as confidential, used only for the agreed work, and we recommend rotating them when the work completes.
- Technical information. Like nearly all websites, our hosting infrastructure records standard server logs (IP address, browser type, pages requested, timestamps) used for security and troubleshooting.
- What we don’t collect. The Site has no user accounts, no advertising trackers, and no social media pixels. We do not collect payment card details on the Site — payments are arranged directly and processed through established payment providers.
3. How We Use Information
- To respond to your inquiries and provide the services you request;
- To diagnose and repair your website, which is the reason you contacted us;
- To send service-related communication — quotes, progress updates, completion reports and invoices (we do not send marketing email unless you ask for it);
- To protect the Site and our infrastructure against abuse and attacks;
- To comply with legal obligations where they apply.
4. The HELLO FIX Chat and AI Assistance
Our chat combines scripted questions with an AI assistant for general WordPress questions. Messages you type into the chat may be processed by a third-party AI infrastructure provider to generate replies. The assistant is instructed to answer WordPress questions, not to request sensitive personal information — please don’t enter passwords or payment details into the chat. Access credentials for actual repair work should be shared through the private channel we agree on together, never the public chat.
5. When Information Is Shared
We do not sell, rent or trade your personal information. Ever. Information is shared only with:
- Service providers that make our operations work — email delivery, hosting infrastructure, and the AI provider described above — each receiving only what their function requires;
- Your own third parties, when the work requires it and you’ve authorized it (for example, speaking to your hosting company’s support on your behalf);
- Legal authorities, if and only if required by applicable law.
6. Cookies and Local Storage
The Site does not use advertising or analytics cookies. We use browser local storage for two narrow purposes: preserving your HELLO FIX chat conversation across page reloads, and remembering interface state. This data lives in your browser, is never used to track you across other websites, and can be removed at any time by clearing your browser’s site data.
7. How Long We Keep Information
Correspondence and chat transcripts are kept as long as needed to provide support and maintain a record of the engagement, then deleted in periodic cleanups. Access credentials are used for the duration of the work; we recommend you rotate them immediately after completion, which makes any retained copy useless. Website backups taken during service work follow the retention rules in our Terms of Service — typically one backup retained up to 3 days unless you’re on a backup plan.
8. How We Protect Information
We apply the same discipline to your data that we sell as a service: encrypted connections (HTTPS) on the Site, credentials handled through secure channels and never stored in plain text documents, access limited to the team members working on your job, and infrastructure hardened according to our own security practices. No method of transmission or storage is 100% secure, but protecting websites is our profession, and we practice what we bill for.
9. Your Rights
You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it (subject to any legal retention requirements). You may also object to any use of your information. To exercise any of these rights, email hello@wordpressfix.org — we respond to privacy requests within 30 days, usually much faster. Depending on where you live, these rights may be backed by specific laws (such as the GDPR in Europe); we honor the requests regardless of where you’re writing from.
10. Children
The Site and Services are intended for adults operating websites and businesses. We do not knowingly collect information from children under 16; if you believe a child has provided us information, contact us and we will delete it.
11. International Transfers
We serve clients worldwide, and our team and service providers operate across borders — which means your information may be processed outside your own country. Wherever it’s processed, it’s protected by this policy.
12. Changes to This Policy
When we revise this policy, the “Last Revised” date above changes with it. Material changes will be noted prominently on this page. Continued use of the Site after a revision constitutes acceptance of the updated policy.
